About us:
Kids Kottage Foundation, established in 1995, is a non-profit organization dedicated to providing a safe and nurturing environment for children when families encounter a crisis and need help to cope with and overcome their challenges.
The Crisis Nursery provides 24-hour care, typically 1-3 days period, for up to 12 children under the age of 11 when their parents are faced with emergencies such as a health crisis, unsafe housing or homelessness, family violence, lack of utilities, legal crisis, or overwhelming parental stress and have no other alternate care for their children.
Our mission is to ensure children are safe and receive the care they deserve when their families are in a crisis and provide caregivers with the appropriate resources, they need to support them to mitigate the crisis and build resiliency.
The Opportunity:
Kids Kottage is seeking a dynamic and detail-oriented Operations Manager to oversee key administrative and operational functions, ensuring the organization runs efficiently and effectively in support of its mission. Reporting directly to the Executive Director, this role provides oversight of Human Resources (HR), Information Technology (IT), Operations Plan and Policy Management, while also serving as the liaison and administrator for the Board of Directors.
The ideal candidate is a proactive leader with strong organizational, communication, and people management skills, capable of managing multiple priorities in a fast-paced, mission-driven environment. This position has one direct report (People and Culture Coordinator) and manages related contractors (such as IT).
Essential Duties and Responsibilities:
- Ensures smooth day-to-day operations of the organization, both within the Kids Kottage administration office and the crisis care shelter while leading operational improvement initiatives that support long-term sustainability.
- Provides support for financial and budgeting processes as needed.
- Collaborate with leadership on strategic planning and organizational development initiatives.
- Serves as a key point of contact between Senior Management and the Board of Directors.
- Supports board governance by managing board records, tracking action items, taking meeting minutes, and ensuring compliance with bylaws and governance policies.
- Develops, implements, and maintains policies and procedures to ensure regulatory compliance and operational efficiency.
- Lead policy training sessions for staff and maintain an accessible policy database / manual.
- Provides oversight for HR functions, including recruitment, onboarding, performance management, training, and compliance with employment laws and regulations, of both volunteers and staff.
- Develops and ensures smooth execution of an IT roadmap.
- Collaborates with IT service providers to maintain and improve technology infrastructure, ensuring secure and efficient operations.
- Provide IT support for staff as needed and manage software and system licenses.
- Implement best practices for digital and physical file storage, ensuring compliance with privacy laws and organizational policies.
Qualifications & Skills:
- Combination of relevant education and experience, with significant time spent in operations and/or not-for-profit management.
- Experience with board governance.
- Strong leadership, organizational, and problem-solving skills.
- Proficiency in HRIS, IT systems, and Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and priorities in a dynamic environment.
Salary Range:
$60,000 – $70,000 annually
